Our Client’s Most Frequently Asked Questions

 The counterparty has not received a notification for a document I sent.

It is possible that the counterparty’s anti-spam protection is “being too helpful.” We therefore recommend that they check their spam folder (and their Promotions folder if appropriate).

As an admin and/or Proposer, you can also use the workspace settings to set up the sending of notifications via SMS. The counterparty will then be able to easily sign documents over their phone as well.

The other possible problem here is that you may have set a signature order, and the given person may not yet be in line for signing. When a signature order has been set, Signi always waits for signing or approval from the preceding party.

 The counterparty has signed the document, but I still see it in the application as awaiting signature (or approval).

If you are sending multiple documents at once, the counterparty must sign, or as appropriate approve of, every one of those documents.

If they only approve one attachment, the document will still be waiting for completion.

It is also possible that someone in the role of approver is waiting in the signing process in addition to the counterparties that have already signed. In this situation, the document can be signed by everyone and still behave like an unsigned document and be awaiting completion, because approval from one or more counterparties is still missing.

 The link for document signing is not working.

This generally means that the proposer has changed or deleted the document proposal, or the proposal has expired. In this situation, you need to contact the given document’s proposer.

 The linked page for document signing cannot be opened.

In this situation, we recommend simply clicking the link in a different browser. Or as appropriate updating your current browser. Problems like this can be caused e.g. by Internet Explorer.

 I am a member of the workspace team and I can only see 3 documents in my account to use, or I can't see the balance of documents in the main account.

We are still working on this modification. At the moment you will only see the 3 bonus documents you received when you registered in your account. But you will actually be drawing the documents of the main account whose workspace you were invited to.

 I didn't receive the verification SMS before signing the document, now what?

SMS notifications should normally arrive within a few seconds. Please always make sure that the phone number has been entered in the correct format (without spaces and, for foreign numbers, with the area code). If the message does not arrive, we recommend restarting the phone (switching it off and on). If this does not help, please send us an email to help@signi.cz with the phone number so we can check where the problem is.

 Can I choose the order of signers?

Of course! When sending any document for signature, or for approval, you can set the order of the signers by checking the "Select the order of the signers" option.

Use the arrow on the right or the icon on the left of a contact to move a contact, changing the given client’s signing order. The document will then “journey” from one user to the next in precisely the order you defined.

If you want to have the counterparty sign the document first, then click on "Send without my signature" in the content of the document. This action will send the document to the counterparties for signature first, and once signed you will be able to insert your signature.

 How to send a document / attachment without a signature?

Of course, you can send any document without having to sign it. There are two ways to do this:

  • Send a document that only goes to note: in the document header, select the "approves" role for the signer. This way the system will not require the person to sign the document.

  • If it is only an attachment to the main document, i.e. you are sending multiple files at once and you do not want to sign one or more attachments, you need to remove the signatures for each attachment separately. You do this in the content of the document before adding the signature fields. Select Edit signers. For a detailed description, see this chapter.

 I have created an account, but I can't invite team members to it, the Team item is missing in my settings.

If the workspace has been set up in the name of an individual (natural person), you cannot add team members to it. It is recommended to delete the workspace and create a new one. When creating a workspace this time, select the Legal entity tab. For more detailed instructions, see the chapter Working with Workspaces.
